1. Signing In
- Open the workspace sign-in page.
- Enter the email and password provided by the administrator.
- Select Sign in.
- On success, you land on the workspace dashboard and stay signed in on that browser until you sign out.
Passwords are never shared by email. If you forget yours, ask the administrator to reset it.
2. The Case List
The dashboard shows every open case as a card: case name, current status, and the date it was opened. Select a card to open that matter.
- Search — once more than a handful of cases are open, a search box appears; it matches case name, case number, or internal identifier.
- Open a case — fill in the new-case row (name required; case number, origin, and subtype optional) and select Open case. The new matter opens immediately.
3. Inside a Matter
An open matter is organized into six tabs, each with a live count so you can see where work is waiting:

Above the tabs, always visible: any safety banners, the session controls, the matter header, and the buttons to advance the matter to its next stage.
Most tabs have a + add button in their heading — the entry forms stay hidden until you need them, so the page shows information rather than empty forms. On a brand-new matter the People form opens by itself.
When anything saves or fails, a small message appears in the bottom corner. A failed save always says so plainly — nothing is ever silently recorded.
4. Participants and Party Intake
Participants are added on the People tab: choose a role, type a name, and select Add. Attorneys can be linked to the party they represent. Parties without counsel are marked pro se automatically.
Select any participant to open their detail panel — edit contact details, change a role, or remove them.
Intake links. For each party there is an intake link button. It produces a private link you send to that party so they can complete their own disclosure online:
- Optionally set verifier digits (for example, the last four digits of their phone) — the party must type these once, proving the link reached the right person.
- Select Create link + copy — the link is copied to your clipboard with its expiration date.
- The party opens the link, enters the verifier, and completes three things: uploads their disclosure documents, reports child-related monthly expenses, and may send the mediator a private statement. Everything they submit is labeled as coming from the party portal.
- Revoke kills the link instantly if needed.
Parties see the confidentiality posture before they start: disclosure documents follow case-disclosure rules and may be exchanged as those rules provide, while the private statement goes to the mediator only.
If a matter carries a safety flag, the workspace will suggest keeping the party portal off and gathering disclosure directly — a shared intake surface can be a control vector in those situations.
5. Disclosure and Documents
The Disclosure tab tracks what documents have been requested, received, or waived, per party.
- Seed checklist creates the standard disclosure request list (it multiplies by the number of parties).
- Request from a party copies a ready-to-send request letter listing that party's outstanding items.
- Selecting any checklist item opens it — mark items requested, received, waived, or not applicable.
- Upload adds documents directly: PDF, TXT, DOC, or DOCX, up to 20 MB. Every upload is automatically security-scanned before it is stored; rejected files produce a plain-language message. Uploaded documents can also feed fact extraction — extracted figures are always marked and never treated as verified.
- Download opens or saves any stored document — party uploads and mediator uploads alike. Every party document you receive is viewable from here.
6. Facts
The Facts tab is the matter's ledger: every fact recorded from parties, documents, or the mediator, each with its source and review status.
- Filter chips at the top narrow the list by review status, or show which disclosure documents are still missing.
- Facts pulled from party portals or extracted from documents arrive marked needs review. Select a fact to confirm it against its source, acknowledge it, reject it, or correct it — a correction supersedes the old value but never erases it, so the history stays honest.
- Confirm all against source clears the whole review queue at once when you have checked the batch.
- Recording a new fact takes plain text or a dollar amount — type the number, choose $ amount, and it is stored in cents exactly as entered.
A matter cannot start a session until its safety screening has been recorded — the banner at the top of the record makes that gate visible and provides the button to clear it.
7. Issues, Offers, and Assets
Issues & Offers holds the negotiation itself:
- An issue records what is disputed (alimony duration, the home, a parenting schedule) with its status — open, agreed, disputed, deferred, or needs counsel.
- An offer records who proposed what, with any dollar amount and its outcome. Selecting any item opens its detail panel to change status.
Assets is the asset and debt schedule: name, type, value, classification (marital, nonmarital, disputed), and — once decided — which side it is allocated to. Totals by classification are summarized at the top. Selecting an asset opens classification and allocation controls, including a removal that never deletes history.
8. Terms, Notes, and Advancing the Matter
The Terms & Notes tab holds the outputs:
- Settlement terms each carry a version history and a dependency cascade — changing a term shows which other areas it affects, so a support change that ripples into alimony is visible before you commit it.
- Settlement agreement draft (appears once terms exist) assembles the approved structured terms into a draft memorandum for counsel review.
- Mediator's report generates the court outcome report (agreement, partial, or none — never negotiation behavior) with an explicit consent option for identifying pending motions under Rule 12.740, and downloads it as a filing-ready PDF.
- Deliverables tracks who prepares what, per area, through review to final.
- Mediator notes are either private to the mediator team or shared with the matter — the choice is on every note.
- At the bottom, the matter's next workflow stages appear as buttons; advancing is always an explicit action.
Time. Sessions log their own time when ended (elapsed minutes, from the session clock). Everything else — preparation, document review, drafting, correspondence — is entered in the Time section of the Terms & Notes tab: pick the activity, minutes (15/30/60/120 quick buttons or type), optional note. The matter header shows the running total at the practice rate, and copy billing summary puts the full record on your clipboard for invoicing: date, activity, duration, and notes, with both the raw time value and the amount billed at 15-minute increments per the published fee terms. Entries are removed by deactivation, never deletion — the billing trail stays honest.
Case summary (PDF) — the link beside the matter's status downloads the full working record (participants, workflow timeline, disclosure status, issues, documents, current terms) as an internal PDF. This is your case file, not the court report: confidential mediation material, labeled as such on every copy.
9. Running a Session
Session controls sit above the tabs:
- Start session opens the matter's working session.
- The session is joint by default. Caucus moves to a private room with one party — the other side never sees caucus content, and returning to joint is one click.
- End session closes it. Anything agreed is written up from the terms tab, not from session memory.
If a safety flag is present, the workspace suggests process adjustments (separate formats, counsel presence) rather than assuming a joint room.
10. The Workbenches
Two decision aids open from the matter (links appear on the Assets and Terms tabs, and in the top bar):
- Asset split — line-by-line allocation of the disclosed estate against a target share the parties name, on both statement and after-tax values, with the single payment that would close the gap to the target exactly.
- Cash flow — whether a proposed property-and-support mix funds two households over time: budgets, income timing, and up to three named scenarios, year by year.
Both are decision aids, not advice: the mediator does not adopt a rate of return or recommend a split; parties decide and counsel reviews. Opening a workbench from a matter seeds it from that matter's disclosed assets and party names — a time-saver, never a substitution for judgment. Save to matter keeps the current model with the case; reopening later restores it exactly. Nothing is saved until you press Save.
11. The Research Copilot
While a matter is open, a research panel sits alongside the record, and the Research desk link in the top bar opens the full version. It searches the internal practice deskbook and Florida statutes and answers with citations.
Treat it as a fast, citeable starting point: verify anything that matters against the cited source itself. It is a research aid, not legal advice, and it never sees caucus content.
12. Public Child Support Estimator
The public estimator runs Florida's statutory child-support guideline formula on numbers you enter, including the substantial time-sharing calculation. It is educational only: it shows the math for your inputs and does not predict what a court will order. Your figures stay in your browser only and are never sent to our servers; the Save button keeps them in this browser for your next visit, and Clear removes them.
13. Signing Out
Use the Sign out control in the workspace header. This ends your session on that browser. You can be signed in on more than one browser or device at a time; signing out of one does not affect the others.
14. Troubleshooting

| Told you are not signed in / access denied | Your session likely expired — sign in again. |
| "That change didn't save" message | Nothing was recorded — check your connection and retry. If it repeats, note what you were doing and contact support. |
| Workbench says "Showing sample data" | The matter's saved model couldn't load. Retry; if it persists, contact support before saving over anything. |
| File upload rejected | Check the file type and size, then retry. If it persists, contact support. |
| Page stuck on a loading message | Reload the page. If it continues, clear the site's browser cookies and sign in again. |
| Copilot returns nothing or errors | It's a research aid, not a record — retry in a moment. Matter data is unaffected. |
| Forgot your password | Ask the administrator for a reset — include your sign-in email address. |
| Something else looks wrong | Note the time, what you clicked, and any message shown, then contact support. |
15. Contact & Support
- For case questions or to start a matter, use the mediation request page.
- For technical issues with the workspace, describe what happened (time, page, error message) when you reach out so it can be reproduced.
